How to Share Your Calendar in Microsoft Office 365

If you’re using Microsoft Office 365 for email and scheduling, sharing your calendar with coworkers is simple and takes less than a minute. Whether you need to coordinate meetings, give someone visibility into your availability, or streamline team planning, Outlook on the web makes the process straightforward.

Step 1: Sign in to Outlook on the Web

Start by opening your browser and going to outlook.office.com. Sign in with your Microsoft 365 account if you aren’t already logged in.

Step 2: Open Your Calendar

Once you’re in Outlook, look at the left-hand navigation bar and select the calendar icon. This switches you from your inbox to your calendar view.

Step 3: Share Your Calendar

At the top middle of the calendar page, you’ll see a Share button. Click it, and a small window will appear asking who you want to share your calendar with.

Enter the email address of the person you want to share your calendar with. After that, choose the permission level you want them to have, whether they can only see your free/busy time, view full details, or edit events.

Step 4: The Recipient Accepts the Invite

Outlook will send an automatic invitation to the person you selected. All they need to do is accept the invite, and your calendar will appear in their Outlook under “Other calendars.”

Sharing your calendar is one of the easiest ways to improve communication and scheduling across your team. With just a few clicks, you can make sure everyone stays aligned and informed.
